    Helios HR is seeking to hire a full-time Operations Manager (Commerical Contract Administrator) for our client, Aclairo located in Vienna, VA.

In addition, our scientific services group can provide full program management and study monitoring and are experienced in supporting the gamut of regulatory document preparations including:

    • Final Study Reports
    • Regulatory Applications
    • Investigator Brochures
    • Expert Reports
    • FDA Response Documents



    • Administers all aspects of contract from proposal to close-out phase.
    • Responsible for reviewing and mastering all servicing agreements and accounts; possesses understanding of plan features, efficiencies, limitations, maintenance and competitor cost comparison
    • Prepares bids, specifications, tests, and progress reports.
    • Reviews bids for conformity to contract requirements, and assists in determining final bids.
    • Vendor management
    • Engages account managers to effect timely and effective service, reviews billing for discrepancies/savings, and ensures product and service delivery is to standard.
    • Oversees office functions and responsibilities for the day-to-day administration of the company (i.e. maintenance, security, HR, and vender servicing functions)
    • Engages and resolves operational contingencies in a timely manner
    • Implements quality assurance/quality control measures in all operational activities.
    • Executes the vision of the President
    • Maintains strong company-to-company relationship
    • Performs duties of a highly confidential nature that require comprehensive knowledge of organizational policies, practices, and procedures.
    • Provides administrative support for top executives
    • Develops and maintains Aclairo calendar for cohesive sharing of company-wide events and interests
    • Maintain office and kitchen supply inventory -Purchase, receive, and organize supplies
    • Maintain office suite, office equipment and two conference rooms
    • Day-to-day reception/distribution of standard mail
    • Local Post Office mail pick up
    • Other duties as assigned


    • Bachelor’s degree, and 3 - 5 years of experience, or equivalent relevant work experience
    • Proven work experience as a Contract Administrator, Contract Manager, or relevant role
    • Keen attention to detail
    • Ability to work independently with little to no supervision
    • Ability to work with varying seniority levels, including staff, manager and external partners
    • Excellent communication skills
    • Excellent writing skills
    • Strong analytical and organizational skills
    • Proficient computer skills, Microsoft Office Suite (Word, PowerPoint, Excel, and Outlook)
    • Ability to multitask, prioritize, and manage time efficiently
