    Helios HR is excited to partner with our client, an award winning, Small Business Administration (SBA) certified Historically Underutilized Business Zone (HUBZone) company and certified Woman-Owned Small Business (WOSB) providing engineering, analytical, and programmatic expertise to the Federal Government, in their search for an Executive Assistant.


    The Executive Assistant will provide support to both our Chief Executive Officer and President. The candidate will be responsible for a broad range of administrative tasks. This is a highly visible position that demands a high degree of telephone and personal professionalism, polish, and diplomacy. Absolute confidentiality is a critical component of this role. Occasional travel may be required. This is a full-time salaried position and will operate from our client’s corporate headquarters in Alexandria, VA.

    • Managing scheduling, preparing research and correspondence, coordinating meeting logistics, preparing expense reports and coordinating travel.
    • Managing multiple and competing requirements with efficiency, attention to prioritization, detail orientation, and execution.
    • Acting as proxy to the CEO and President, representing them in communications and possibly making administrative decisions based on knowledge of their priorities.
    • Prioritizing and carrying out special projects and complex assignments as needed, exercising frequent independent judgement, initiative, and tact.
    • Regularly interacting with senior management and executives on matters of all kinds.
    • Drafting emails, letters, memos on behalf of CEO and President.
    • Preparing and coordinating the organization of presentation materials for internal and external meetings.
    • Planning off-site activities, celebrations, and meetings.
    • Managing and organizing headquarters office operations as needed.


    • Requires 7 years of administrative support experience of an increasingly responsible nature at a senior level, 12 years preferred.
    • Bachelor’s degree in Business Administration preferred.
    • Strong written and verbal communication skills.
    • Must have excellent calendar management skills with a mastery of Microsoft Outlook.
    • Demonstrated ability to work on multiple projects simultaneously with a commitment to completion of project on a timely basis.
    • Must have strong problem-solving skills with an ability to diagnose and resolve complex issues.
    • Must have proficiency in Microsoft Word, Excel, and PowerPoint.
    • Must be a U.S. Citizen.
    • Must be able to pass a background investigation.
    • Familiarity with SharePoint preferred.
    • Experience in government contracting is a plus.
